Position Description |
We're looking for someone who will bring a friendly personality to our team. While sitting at the front desk, we appreciate someone who is approachable and can create a positive first impression for our senior clients. Duties include making and answering calls, setting client appointments, and managing the calendar. You will answer client and visitor questions, copy, and scan documents while keeping the office organized and performing daily tasks with ease and accuracy. Join our team of hard workers who strive to give the best services to the seniors in our community.
Daily Duties
Making calls to set up appointments with clients
Answer incoming calls and forward the ones that are needed
Answer incoming client questions over the phone, texts, website, and emails
Take notes from the CEO after client meetings and add to CRM
Scan, copy, print, fax, and organizing files
Manage email inbox and business calendar, rearranging schedule when needed
Receive and distribute mail from couriers, deliveries, packages, and mailroom
Purchase, track, and distribute office supplies from (Costco & Amazon)
Set up snacks and drinks in the conference rooms and wipe down table afterwards
Assist in administrative tasks
Self-directed and able to work without supervision
Requirements and Qualifications
High school diploma or equivalent
Experience handling receptionist responsibilities; experience in customer service or related field
Computer skills, including Microsoft Office Suite (Outlook calendar, Calendly, and Excel, CRM)
Excellent time management and reliable transportation
Written and verbal communication skills
